Who we are
This site is run by The Restaurant Stars ("we", "us", "our"). We provide a done-for-you operations service for independent UK restaurants. For the purposes of UK data protection law, we are the data controller for the personal information described here.
Company details: [registered company name and number], [registered address]. Registered with the Information Commissioner's Office (ICO) under reference [ICO registration number]. Questions? Email hello@therestaurantstars.com.
What this policy covers
This policy covers the information we collect when you use this website, book a demo, or become a customer. It does not cover the operational data we process on behalf of a restaurant once they're a customer (their staff hours, stock, wages and so on). For that, we act as a data processor under a separate written agreement and the customer's instructions; details are in that agreement.
The information we collect
We keep this to the minimum we need. Depending on how you use the site:
- When you book a call: your name, email address, restaurant name, and optionally your phone number and anything you choose to tell us in the notes field.
- When you contact us: your name, email address and the contents of your message.
- When you use the free calculator: the figures you type stay in your browser to produce a result. We only receive them if you choose to email yourself the result.
- Automatically: basic technical information such as your IP address, browser type and the pages you view, used to keep the site secure and working. We aim to keep this minimal.
Why we use it, and our lawful bases
| What for | Lawful basis (UK GDPR) |
|---|---|
| Arranging, confirming and reminding you about a demo | Steps taken at your request before entering a contract |
| Replying to your messages and providing support | Our legitimate interest in helping people who contact us |
| Running and securing the website | Our legitimate interest in a safe, working site |
| Sending you a guide or follow-up you asked for | Your consent (which you can withdraw at any time) |
| Meeting our legal and accounting obligations | Compliance with a legal obligation |
Communications you may receive
When you book a call, we send you transactional messages about that booking, a confirmation, a calendar invite, and reminders or changes if they happen. These are part of providing the service you asked for, not marketing. We will not add you to a marketing list without your consent, and any optional emails carry an easy way to opt out.
Cookies and analytics
We use only the cookies needed for the site to function. If we add optional analytics or measurement cookies in future, we will ask for your consent first and update this policy. You can also control cookies through your browser settings.
Who we share it with
We don't sell your personal information, ever. We share it only with the service providers that help us run the business, and only as far as they need it:
- our email and calendar provider, to send confirmations and invites;
- our hosting and infrastructure providers, to run the site;
- professional advisers (such as accountants or lawyers) and authorities where the law requires it.
Each provider is bound to keep your information secure and to use it only for the service they provide to us.
Where your information is held
We aim to keep personal information within the UK or European Economic Area. Where a provider processes data outside these areas, we make sure an appropriate safeguard recognised under UK law (such as the UK International Data Transfer Agreement or adequacy regulations) is in place.
How long we keep it
We keep booking and enquiry information only as long as we need it to deal with your request and for a reasonable period afterwards, then we delete or anonymise it. Where we have a legal reason to keep certain records (for example, tax records), we keep them for as long as the law requires.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that's wrong;
- ask us to delete it, where there's no good reason for us to keep it;
- object to, or ask us to restrict, certain uses;
- withdraw consent at any time, where we relied on it;
- ask us to move your information to another provider, where that applies.
To exercise any of these, email hello@therestaurantstars.com. We'll respond within the time the law allows. If you're not happy with how we've handled your information, you can complain to the ICO at ico.org.uk, though we'd rather you came to us first so we can put it right.
Keeping it secure
We use appropriate technical and organisational measures to protect your information, and we limit access to those who need it. No system is ever completely secure, but we take this seriously and review our measures regularly.
Children
This site and service are aimed at restaurant owners and operators, not children, and we don't knowingly collect information about anyone under 16.
Changes to this policy
If we change this policy, we'll update the date at the top and, for significant changes, let affected customers know. Please check back from time to time.
